Privacy Policy

Iluuna is built to handle sensitive family information with care. This policy explains what we collect, why we collect it, and how we protect it. We use plain language because the people using Iluuna are going through one of the hardest experiences of their lives — they deserve straight answers.

1Information We Collect

We collect information in two ways: what you give us directly, and what we observe as you use the platform.

  • Account information — your name, email address, and password when you sign up.
  • Organization information — the name and details of your funeral home or organization.
  • Estate information — the name, jurisdiction, and dates you enter when creating an estate workspace. This may include the name of the deceased and relevant dates.
  • Documents — files you upload to the document vault, including wills, death certificates, financial statements, and insurance policies.
  • Collaborator information — names and email addresses of family members, attorneys, and advisors you invite to an estate workspace.
  • Usage information — pages visited, actions taken, and features used within the platform.
  • Device and technical information — your IP address, browser type, and operating system, collected automatically.

2How We Use Information

We use information to provide the platform, improve it, and communicate with you. We do not sell your information.

  • To provide and operate Iluuna — creating workspaces, generating task plans, storing documents, and enabling collaboration.
  • To manage your account and subscription — billing, plan changes, and account communications.
  • To send service communications — confirmations, updates, and security alerts. These are not optional while you have an active account.
  • To improve the platform — understanding how features are used helps us make Iluuna better.
  • To comply with legal obligations — we may be required to retain or disclose certain information by law.

3Estate Information

Estate information is among the most sensitive data we handle. It relates to a deceased person and their family during a period of grief.

Estate data is accessible only to the organization that created the workspace and the specific collaborators they invite. Iluuna staff do not access estate content except when required to resolve a documented technical issue, and only with the knowledge of the account holder.

We do not use estate content — including uploaded documents — for advertising, training AI models, or any purpose unrelated to providing the service.

4Document Storage

Documents uploaded to Iluuna are stored with encryption at rest and in transit. Each document is stored in a private bucket that is not publicly accessible.

Access to documents is controlled by the invitation system. Only people added to an estate workspace can access its documents.

We do not read, analyze, or process document contents for any purpose other than storing and retrieving them on your behalf.

5Cookies and Analytics

Iluuna uses cookies to maintain your session — to keep you signed in as you navigate the platform. We do not use third-party advertising cookies.

We use analytics tools to understand how the platform is used. These tools may set cookies or use similar technologies. The data collected is aggregate and anonymized where possible.

6Data Sharing

We do not sell or rent your information to third parties. We share information only in these circumstances:

  • Service providers — companies that help us operate Iluuna, such as cloud infrastructure and payment processing. They are bound by confidentiality obligations.
  • Legal requirements — if required by applicable law, court order, or governmental authority.
  • Business transfers — if Iluuna is acquired, merged, or sold, user data may be transferred as part of that transaction. We will notify users in advance.
  • With your consent — if you ask us to share information for a specific purpose.

7Data Retention

We retain account data for as long as your account is active. If you cancel your account, we retain your data for 90 days to allow for reactivation before permanently deleting it.

Estate data and documents follow a separate retention schedule described in our Data Retention Policy.

Some information may be retained longer where required by applicable law.

8Security Measures

We use industry-standard security practices including encryption in transit (TLS), encryption at rest for documents, and role-based access controls.

Our Security page describes these measures in more detail. While no system is perfectly secure, we take every reasonable step to protect your data.

If we discover a security breach that affects your data, we will notify you promptly as required by applicable law.

9Your Rights

Depending on your location, you may have rights related to your personal information. These may include the right to access, correct, or delete your data.

To exercise any of these rights, contact us at the email address below. We will respond within a reasonable timeframe, and no later than 30 days.

You may also correct your account information directly in your account settings at any time.

10Children's Privacy

Iluuna is not intended for use by people under the age of 18. We do not knowingly collect information from minors. If you believe a minor has provided us with personal information, contact us and we will delete it.

11Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the effective date at the top of this page and, for material changes, notify you by email or in-app notice.
