Data Retention

While your account is active, all data associated with it — your organization profile, estate workspaces, tasks, collaborator information, and uploaded documents — is retained in full.

There is no automatic expiry for active accounts. Data is retained as long as your subscription is in good standing.

When an estate workspace is marked as completed or archived, it remains accessible to your organization. Archived estates count toward your plan's storage but do not count against your active estate limit.

You can reactivate an archived estate at any time if additional administration is needed.

When you delete an estate workspace, it is soft-deleted immediately — it disappears from your account but the data is retained for 30 days in case of accidental deletion.

After 30 days, the estate and all associated data — tasks, documents, collaborator records, and activity logs — are permanently deleted and cannot be recovered.

Documents uploaded to a deleted estate are also permanently deleted from storage after this 30-day window.

If your subscription is canceled or expires, your account enters a read-only grace period of 90 days. During this period, you can view your data, export documents, and reactivate your subscription.

After 90 days, if the account has not been reactivated, all account data and associated estate workspaces are permanently deleted.

You will receive email reminders before permanent deletion occurs.

If your 30-day free trial ends without a paid subscription being activated, your account enters a 30-day grace period.

After 30 days following trial expiry, all data including estate workspaces, documents, and collaborator records is permanently deleted.

We will send a reminder email before deletion occurs.

Documents uploaded to Iluuna are retained as long as the estate workspace exists and your account is active.

When an estate workspace or account is deleted (following the grace periods described above), all associated documents are permanently deleted from our storage infrastructure.

We recommend downloading copies of important documents before deleting an estate or closing your account.

We maintain automated database backups for recovery purposes. Backups are retained for up to 30 days.

Backups exist for disaster recovery, not for user-initiated data restoration. If you accidentally delete a document or estate, contact support promptly — recovery from backup may be possible within the 30-day window.

Documents stored in file storage are backed up separately and subject to similar retention periods.

You can export your account information and download your documents at any time through the platform.

To request a full export of all data associated with your account, contact support@iluuna.com. We will fulfill data export requests within 30 days.

To request permanent deletion of your account and all associated data, contact support@iluuna.com. Deletion requests will be processed within 30 days, subject to any legal retention obligations.

In some circumstances, applicable law may require us to retain data beyond the periods described above. If we are required to retain your data for legal reasons, we will retain only what is required and for no longer than necessary.
